Procurement and Purchase Orders
A company can greatly reduce cycle times by using the Signonline solution.
Currently many companies require "wet-ink" signatures be affixed to
all contracts used during financial transactions. Many will not accept faxed
copies and still others require some sort of signing ceremony that requires
the signing parties to be present.
Example: A large heavy equipment manufacturer actually has employees whose
sole job is to travel the country and collect "wet-ink" signatures
on purchase orders and procurement contracts with their vendors. Their reason
for this is two fold. First they feel it reduces cycle time by placing their
representative in the respective clients offices. Secondly they feel that their
representative can hammer out any last minute confusion over the contract while
present. This has reduced cycle times from months to weeks. But it is still
a cumbersome process that often requires more than one visit from the manufactures
representative to the client company. Signonline would be an obvious fit because
it meets their binding signature requirement. It would also allow both parties
to review the document prior to signing. Cycle times could be cut to a few days.
Expense Reports
Signonline actually uses our solution to submit expense reports. It reduces
paper, as well as long distance charges for faxes. It also significantly reduces
the time spent by the employee submitting the document.
Medical - Procedural Request Forms
Doctors would be able to fill out procedural request forms from remote locations.
The doctor could recommend and sign off on the procedural form without ever
being in the same room as the patient. Many companies are offering remote medicine
solutions to their patients. This combines streaming technologies with other
internet technologies. Doctors are now able to treat patients who require constant
care or live in areas that are very isolated.
Example: A health care association with 16 medical offices in a large metropolitan
area has gone virtually paperless. The desktop computer is seen everywhere.
Gone are prescription writing pads, large storage rooms of paper files of patient
records -doctors do it online. Patient records are delivered between physician
offices via electronic mail. Gone are the days of trying to understand a doctor's
illegible handwriting-its all typed. Appointments are scheduled and lab test
results are e-mailed to the Doctor. Pharmaceutical companies have begun using
digital signatures to help transfer patient files.
Consumers want the same level of convenience and they are starting to get it.
Patients now can e-mail doctors with questions or to make an appointment. They
can access their health records and get lab results with a secure digital signature
proving they are who they say they are.
Legal Contractual
The remote filing of court documents will allow companies to have clients
sign common documents such as Power of Attorney. Once again this reduces cycle
times. Often it is the signing of these common documents that slow down legal
transactions.
Financial
This includes everything from processing loan applications for automotive
personal or mortgage loans. Some of the other uses would be the filing of tax
documents - the Government is looking at having 80% of all tax filing done online
by 2005. Financial planners and wealth managers often have clients who have
more money than time. They could allow their clients to complete SEC compliant
transactions without ever setting foot in The financial planner's office.
Brokerage Example: Online brokerages are coming up to speed so that a new
customer will be able to authenticate themselves online, open accounts, securely
sign forms, and start trading from work, home, or any place of their choosing.
A digital certificate is one of the most robust implementations of a digital
signature and works very well for online trading. Once the technology is established,
digital signatures will also be used to issue checks and make address changes.
It will be business un-interrupted as investors enter their account information,
the brokerage company will complete an identity check and issue the digital
certificate to the investors home computer.
Mortgage Example: A customer applies to XYZ Mortgage Company for a mortgage
loan. In the paper world, disclosures are prepared and mailed to the borrower
within three days of application. Borrowers usually take about two weeks to
return disclosures that have been mailed or delivered to them. Lenders that
lock in an interest rate at the time of application spend money hedging against
interest rate changes during those weeks. Under the E-Sign law however, consumers
can review their disclosures online immediately after filling out an application.
The use of the electronic disclosures could save borrowers as much as half an
interest rate point, or up to $500 on a $100,000 loan because the lender would
be able to immediately lock in the loan. The borrowers would be assured the
rate could not go up as it could given the time lapse with paper disclosures.
Insurance
Notices of termination of policy is just about the only process the Insurance
Industry is not allowed to do electronically. Everything from submitting applications
to the updating of current policies is subject to being signed electronically.
Field agents and accident inspectors could use their Palms and laptops to submit
finished reports directly for processing. It cost 18 dollars on average every
time a field representative amended a policy. This is mostly because of operational
costs. Getting customers to the table to sign off in corrections is often the
big fiscal drain.
Example: A good example of time and resources saved in the insurance field
is with the Beneficiary Change form. A spouse is incapacitated and has become
ill. A beneficiary change form needs to be completed at once. In the paper transaction
this process could take up to thirty days to complete. With online digital signing
technology the process can be completed in a day or two.
Police
Officers often
complain about the current submission process - filing police reports from the
field and storing them in a database to be accessed later. We could save them
a trip to the station by allowing remote submittal.
Example: A traffic policeman arrests a speeding driver near the end of his shift.
Before he can leave work for the day, he must file a report which must be signed
by himself and by his superior. He now can complete the report from his laptop
computer, affix his SignOnline digital signature, send it to his superior and
end his shift without the physical burden of driving to the station.
